Free SWOT analysis template and maker

Assess internal strengths and weaknesses alongside external opportunities and threats. Use an editable, printable four-quadrant SWOT analysis without signup. Start with an example to understand the fields, then adapt the document to your situation. The preview follows your changes so you can review the content before sharing it. Save a version in this browser or export JSON to continue editing later. SVG and PNG downloads are suitable for presentations and documents; for a PDF, use your browser's print dialog. Below the editor, the guide explains the method, shows a completed example, and covers practical precautions and common questions about using the tool.

How to use
  1. Name the analysis and optionally the organization.
  2. Enter strengths, weaknesses, opportunities and threats, one item per line.
  3. Review the matrix, save, export or print.

How it works, step by step

Before entering information, decide which decision or discussion the document should support. Note the project name, the intended audience, and the version you are preparing. A specific title helps distinguish an early proposal from an approved process. If the material is confidential, replace names and amounts with generic references when your purpose is simply to show the structure to other people. This also makes a reusable training example easier to maintain.

Use the Example button to explore a fictional document. It replaces the current content after confirmation, so export a copy first if you have already made important changes. Observe how each field appears in the preview and test one small change at a time. Then select New to create your own version, or adapt the example and remove information that does not match your activity.

Write short statements and use the same vocabulary throughout the document. When two people use different names for the same activity, a diagram can appear more complicated than the actual process. Agree on terms with your team and read the result in the order another person would follow. The preview updates automatically, but checking the meaning and completeness of the information remains the author's responsibility.

  1. Name the analysis and optionally the organization.
  2. Enter strengths, weaknesses, opportunities and threats, one item per line.
  3. Review the matrix, save, export or print.

Principles, use cases, and precautions

A SWOT matrix organizes observations into four quadrants: strengths, weaknesses, opportunities, and threats. Strengths and weaknesses describe conditions inside the organization or project. Opportunities and threats describe external conditions. Classification depends on what you are analyzing: an experienced team can be an internal strength, while changing customer behavior is an external circumstance. Define the scope before writing, since an analysis of an entire company may be too broad to support one specific decision.

Enter one observation per line and prefer statements supported by evidence. Personalized service becomes more useful when supporting documentation explains how it is delivered and why customers value it. Avoid repeating the same statement in all four quadrants simply to fill the page. A threat does not need to be under the company's control, but it should have a clear connection to the objective of the analysis.

In the example, team experience is a strength and manual processes are a weakness. New online markets represent an external opportunity, while growing competition is a threat. These are fictional observations and do not automatically describe your market. Replace each item with an observation that the people responsible for the operation can discuss and verify. Separate what is currently known from what still needs investigation.

After completing the matrix, select a few priorities and develop actions: use a strength to pursue an opportunity, reduce a weakness, or prepare a response to a threat. This tool arranges the matrix but does not assign weights, calculate probabilities, or recommend investments. For product, career, or team planning, record owners, success criteria, and review dates separately. A Gantt schedule can help turn the selected actions into tasks that are visible over time.

Completed example and reviewing the result

The table in this guide comes from the same data used by the Example button. Compare its records with the preview to understand how the inputs become a visual representation. Identifiers such as n1, p1, and t1 are internal references in the example: a connection containing one of them points to another record, rather than indicating a quantity or priority. Dates in the sample schedule are fictional and should be replaced with dates appropriate to your project.

Once you have completed the document, ask someone who did not edit it to explain what they understand. This reading often reveals ambiguous terms, missing activities, or conclusions that depend on information that has not been recorded. Check readability at the size in which the file will actually be presented. SVG preserves the vector drawing; PNG provides an image to insert into other materials. Neither format restores the editable fields, so keep the JSON file when you need to continue working.

To save a PDF, select Print / PDF and choose the appropriate destination in your browser's print dialog. Check orientation, scale, and page count before confirming. Large documents may need content adjustments to remain readable. This tool does not generate a PDF on the server and does not add a signature, formal approval, or certification to the exported document.

Saving, privacy, and limits

Saving is manual and keeps one document per tool in this browser. Clearing site data, using another profile, or changing devices can make the local version unavailable. Export JSON to a folder you choose and keep additional copies according to the importance of your work. The editor does not provide collaboration, version history, synchronization between devices, or recovery through a Quima account.

Your entries are processed in the browser and are not sent to the tool's server. Someone with access to your local profile may still be able to read saved data or exported files. Avoid unnecessary personal information, especially on shared computers. Diagrams and schedules support up to 45 records, with additional limits on text length and imported file size. Divide larger work into documents with clearly defined purposes.

Frequently asked questions

Which SWOT factors are internal and external?

Strengths and weaknesses are internal. Opportunities and threats describe external circumstances affecting your business.

Can I use SWOT for personal projects?

Yes. SWOT analysis can support career planning, products, team projects and other decisions.

Which file should I keep to continue editing?

Export JSON to keep the editable content. Import it into the same tool when you return. SVG and PNG are visual exports and cannot restore the editor fields. Keep a separate copy before replacing your document with an example or starting a new one.

How do I save a PDF?

Select Print / PDF and choose Save as PDF in your browser's print dialog, if available. Check orientation, scale, and page count before saving. The tool does not generate a PDF file on the server.

Will a local save appear on another computer?

No. Saving keeps one document per tool in this browser profile. Clearing site data can remove it. Export JSON and transfer that file yourself to continue on another device; there is no account synchronization or cloud recovery.
